Analytics
We use Google Analytics (via Google Site Kit) to understand how visitors use our website. This service may collect anonymized usage data such as pages visited, time on site, and general geographic region. Google Analytics uses cookies to distinguish unique visitors. No personally identifiable information is sent to Google Analytics.
How Your Data Is Protected
We take the protection of your personal information seriously, especially given the sensitive nature of our community.
- Encryption: Sensitive personal fields (such as your name, email, phone, and health information) are encrypted at rest using AES-256-CBC encryption. This means that even our event organizers and staff cannot see your personal details without going through a formal approval process.
- Dual-admin approval: To access any encrypted personal data, a staff member must request access from a second authorized administrator, who must independently approve the request. Access is time-limited and logged.
- No public visibility: None of the information you submit through our forms is displayed publicly on this website. There are no public member directories, profiles, or listings.
- Form submissions are private: Only authorized administrators can view form submission data, and encrypted fields appear as placeholders unless formally decrypted through the approval process described above.
Cookies
Our website uses the following cookies:
- Essential cookies: WordPress sets session cookies for site administrators who log in. These are necessary for site functionality and are not set for regular visitors.
- Security cookies: Our security plugin (Wordfence) may set cookies to protect against malicious activity and brute-force login attempts.
- Analytics cookies: Google Analytics sets cookies (such as
_gaand_gid) to distinguish unique visitors and track site usage patterns. These cookies do not contain personally identifiable information.
We do not use advertising cookies or third-party tracking cookies beyond what is described above.
Third-Party Services
We use the following third-party services in connection with this website:
- Mailgun: Email delivery for mailing list messages and system notifications. Your email address is shared with Mailgun for the purpose of delivering emails you have opted into. Mailgun Privacy Policy
- Google Analytics: Website usage analytics. Anonymized usage data is processed by Google. Google Privacy Policy
- Wordfence: Website security and firewall protection. May process IP addresses for security purposes. Wordfence Privacy Policy
Event tickets are sold through TicketSpice, a separate third-party platform. When you purchase tickets via TicketSpice, their own privacy policy applies to that transaction. We do not process or store payment card information on this website.
Who Has Access to Your Data
Access to personal data submitted through this website is restricted to authorized Descent Dungeons administrators. Specifically:
- Event organizers and staff see encrypted placeholders, not your actual personal information
- Only designated administrators can request access to decrypted data, and only with approval from a second administrator
- All access to encrypted data is logged and time-limited
- No personal data from form submissions is made available to the general public or to other members
